Position Responsibilities:

  • Oversees all aspects of passenger operations including manifesting passengers, sharing flight movement information via e-mail and public displays, checking passengers in for flights, and coordinating passenger transportation.

  • Trains Passenger Services Representatives on all aspects of passenger processing and advanced use of Pipeline software.

  • Supervises and evaluates employees' performance throughout the season and is responsible for end-of-season employee evaluations.

  • Oversees the manifesting of passengers between McMurdo and Christchurch, NZ, South Pole Station, and various Field Camp locations.

  • Coordinates with ATO Manager to manage passenger numbers on all flights and coordinates the prioritization of passengers, when necessary.

  • Coordinates South Pole passenger movements with South Pole Station management.

  • Interfaces with all USAP organizations and Antarctica New Zealand (AntNZ) personnel to troubleshoot issues related to passenger manifests or transport.

  • Interacts with the National Science Foundation (NSF), military, and other agency officials, via e-mail, over the telephone and in person, in a professional and tactful manner.

  • Coordinates with the Antarctica Support Contract (ASC) Area Director, USAF, and Medical personnel regarding medevac passenger flight requirements.

  • Coordinates with the NSF Station Manager and/or NSF Representative and other agency/international program (Research Ships, Italian Antarctic Program, Australian Antarctic Division and AntNZ) coordinators to determine passenger priorities.

  • Coordinates with the NSF Administrative Coordinator regarding Distinguished Visitor schedules and transport.

  • Ensures the successful redeployment of all ASC, military, NSF, grantee, and contracted agency personnel (approximately 1,300 people per season).

  • Schedules and facilitates redeployment meetings for all ASC personnel, including coordinating the participation of other departments.

  • Oversees the accurate and timely distribution of Advanced Passenger Advisory and Departure/Return Message e-mails via USAP listserv.

  • Constantly coordinates with Christchurch Travel office personnel regarding flight information and redeploying personnel travel preferences.

  • Conducts daily coordination with Shuttles Supervisor for the movement of passengers to and from the airfields, including providing updates of schedule or passenger changes.

  • Represents ATO regarding Pipeline software issues and is the Point of Contact (POC) at McMurdo Station for Pipeline questions.

  • Handles confidential matters (i.e. personnel actions, medevac, management reports, personal travel information, etc.) in accordance with ASC policy.

  • Communicates professionally, both orally and in writing, with subordinates to relay all information needed to successfully perform their duties. This includes, but is not limited to, staff meetings, performance appraisals, job requirements, division metrics, projects, Quality Standard Procedures, and safety practices.

  • Communicates via two-way radio in accordance with prescribed procedures and proper radio etiquette.

  • Reviews and updates departmental procedures.

  • Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.

  • Performs other duties as required.

Required Education, Experience, Certificates and Licenses:

  • High School diploma or equivalent

  • A minimum of four years administrative experience, preferably in Antarctic Terminal Operations or a comparable position.

  • At least one of the four years’ experience must have been in a supervisory role.

Expected Skills and Competencies:

  • Advanced computer skills and knowledge of Microsoft Office Suite (Word, Excel, Outlook)

  • Ability to work effectively in a team environment.

Preferred:

  • BS/BA degree preferred.

  • Proficiency with widely distributed travel or transportation databases used to track passenger movements.

Physical and/or Other Requirements :

  • Willingness and ability to deploy to Antarctica for extended periods

  • Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica

  • Successful completion of drug screening and background check required by employer

  • Successful completion of Federal Background Check required by the NSF

  • Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.

  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.

  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.

  • Valid Driver’s License issued in the United States

  • Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
