Job Summary

The Leave Management Specialist role will focus on Leave of Absence, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), USERRA, Workers Compensation, Corporate leave policies and any applicable state and local leave laws and short-term or long-term disability plans. Ensure employees on leave are paid accurately. Respond to escalated inquiries from the Employee Service Center, employees, leaders, and other stakeholders and vendors. Provide comprehensive information regarding all Leave of Absence (LOA) and disability plans, policies and procedures. Communicates effectively and efficiently with employees and leaders regarding the need for leave and/or modified work schedules. Ensures employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave. Advises employees and leaders on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits, other applicable corporate leave benefits and any other applicable state and local regulations. Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason.

Enters, maintains, and/or processes information in the payroll system for employees on a leave; information may include short-term disability calculations, employees hourly rates, time worked, paid leave and holidays, and other information. Works with Payroll department to ensure accurate retro-adjustments on the timekeeping system, military reimbursements, adoption and surrogacy assistance and waivers of premiums. Oversees the entire PTO donation process according to IRS guidelines. Administers and advises on company time-off and benefit programs as assigned in accordance with internal policy and applicable laws.

Coordinates the authorization of employee returning to work using physician documentation, departmental ability to comply with restrictions. Includes working with employees, insurance carrier, ADAAA, Employee Relations and employee's leadership to get the employee returned to work.

Effectively interprets benefit enrollment implications as they relate to leave of absences and disabilities. Tracks, audits and escalates vendor decisions on employee leave and disability claims. Assists as needed with verification of employment forms as it relates to leaves of absences and disabilities. Preserves confidentiality of employee medical documentation and files. Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.

Ability to deliver high quality customer service consistently in a professional manner. Ability to follow strict policy guidelines as well as standard operating procedures. General analytical and problem solving skills. General organization skills. Attention to detail and accuracy, particularly with entering data. Ability to handle multiple customer requests in a timely manner. Strong customer service focus as well as strong interpersonal communication and listening skills. Effective prioritization, follow-up skills and the ability to escalate issues when necessary. Ability to deal with ambiguity. Flexibility to accommodate staff scheduling changes. Ability to handle confidential and sensitive information. General computer skills and proficient in intermediate Microsoft Office.

Qualifications

Associate degree in human resources, business or related field required. Bachelor’s degree preferred. In lieu of degree, leadership may consider three years of equivalent work experience.

Human resource experience preferred.
