Role Summary

The Flight Operations Administrative Specialist's primary responsibility is providing administrative support to the Director of Operations and the Chief Pilot in the areas of, but not limited to, meeting planning, managing schedules, e-mail/memo correspondence, project management and general office duties as needed. This key position utilizes processes and resources in a manner that is efficient, effective and contributes to the overall success of the department in achieving goals.

Key Duties

  • Provide administrative support for the Director of Operations, Chief Pilot, and the Training Manager.
  • Participate with pilot recruiting by reviewing applications, phone screening and interviewing potential pilots. Conduct on-boarding for new pilots.
  • This individual will be trained to be the Primary DER AOSC for the National Air Transportation Association Compliance Services.
  • This individual will be trained to process the Pilot Record Database (PRD) programs including processing current and past pilot records as required by the law.
  • Once trained, update Sked Flex with all flight crew qualifications including training and medical certificates.
  • Process flight crew expense reports and L48 flight crew Automatic Per Diem reports on a weekly basis.
  • Make crew house and vehicle reservations for visiting personnel. Participate in crew house notifications.
  • Track FAA deadlines, ensure that Ops Bulletins are incorporated into the manual systems timely and be the point person for FAA correspondence.
  • Generate and distribute memos, bulletins, and letters from specific documentation and verbal operational topics.
  • Make Travel Arrangements for the Flight Operation Management as well as other personnel as required. Provide backup support to others who also make travel arrangements when they are unavailable.
  • Serve as a note taker for various meetings and produce meeting agendas and minutes.
  • Process Paid Time Off requests for Director of Operations, Chief Pilot and other employees as required.
  • Facilitate Civil Aircraft Landing Permit renewals - Process all necessary paperwork DD Forms 2400, 2401, 2402, as needed with the USAF.
  • Accomplish such other duties as may be assigned.

Job-Specific Experience, Education and Skills

Required

  • 2-3 years of administrative or equivalent experience.
  • Computer skills including MS Word, Outlook, PowerPoint, and Excel.
  • Ability to demonstrate personal credibility and trustworthiness.
  • High level of confidentiality.
  • Excellent interpersonal and time management skills.
  • Capable of working with diverse personalities and under severe time constraints and pressure.
  • Excellent written and verbal communication skills.
  • Excellent follow-thru skills and a high level of accountability.
  • Ability to think on their feet and work fairly independently.
