Hiring Range: $59,000.00 - $65,940.00 annually (salary to be commensurate with qualifications)

This position has an anticipated work schedule of Monday – Friday, 8:00am – 4:30pm, subject to change. Under FLSA guidelines, this position is non-exempt.

The Pikes Peak Workforce Center (PPWFC) is a dual county consortium serving both El Paso and Teller Counties. The Executive Assistant provides high-level administrative support to the Executive Director, Senior Management, the Workforce Consortium Board and the Workforce Development Board (WDB) by managing schedules, preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. Position is subject to grant funding.

Essential Duties/Responsibilities

  • Assists the Executive Director and Senior Leadership in the management of daily schedules, establishing appointment priorities and rescheduling appointments as necessary; handles calls from internal and external sources; schedules meetings.

  • Designs and produces general correspondence, memos, charts, tables, graphs, business plans, etc; proofreads copy for grammar and layout; makes appropriate modifications ensuring accuracy.

  • Serves as liaison between the Executive Director and the staff, as well as external agencies and businesses, including high-level staff (e.g., CEO's, Senior Vice Presidents and Elected Officials).

  • Maintains complex logs, files and systems and implements changes, as needed; ensures deadlines are achieved.

  • Assesses the urgency and importance of situations, takes appropriate action and recommends solutions to the Senior Management group.

  • Ensures, in the Executive Director's absence, requests for action and information are furnished to staff and partner agencies in a timely manner.

  • Schedules and organizes activities related to travel and conferences for staff and WDB. Related activities include reviewing conference requests for completion and accuracy, making airline, hotel and conference reservations, obtaining necessary documents from vendors and providing completed paperwork to the Finance department.

  • Coordinates regular and special meetings for various committees. Related activities include, but are not limited to, room and resource allocations, speaker scheduling and minute taking.

  • Projects an ethical and favorable image of the organization while ensuring confidentiality in all matters.

  • Exhibits technical task orientation, independent problem solving and proactive action.

  • Performs other duties as required.

Qualifications

Knowledge, Skills, and Abilities:

  • A flexible team player with the ability to work successfully in a changing environment.

  • High level of interpersonal skills and integrity to handle sensitive and confidential situations and information.

  • Ability to communicate effectively, both orally and in writing with government officials, business leaders, colleagues and the public.

  • Analytical ability required to gather and summarize data for reports, find solutions to various administrative problems and prioritize projects.

  • Proficient in Microsoft Office software: Word, Excel, PowerPoint, Outlook, etc., as well as strong Internet research skills.

  • Must be receptive to adoption and application of new and innovative technologies and technological platforms.

  • Ability to perform all duties and responsibilities in a timely and effective manner in accordance with Workforce Innovation and Opportunity Act (WIOA), Wagner-Peyser, Workforce Development Board (WDB), El Paso County, Teller County and PPWFC policies, programs and guidelines to achieve the overall objectives of the position.

  • Ability to quickly adapt to change and work in a fast-paced environment.

  • Previous workforce development or other industry experience preferred.

  • Maintain regular and punctual attendance.

Required Education and Experience:

  • High school diploma or equivalent education.

  • Minimum two years of experience in administrative support or office management.

Preferred Education and Experience:

  • Associate's degree or higher in Business Administration or related field.

  • Four years of executive level administrative support experience.

Licenses/Certificates:

  • Must possess and maintain a valid driver's license.

  • Preferred certifications/licenses.

Pre-Employment Requirements:

  • Must pass conditional post offer background investigation, motor vehicle record check, and drug screen.

Work Conditions

Duties are primarily performed in an office environment, some travel may be required.
