Responsibilities

The Dispatcher has responsibility for responding to routine inquiries from internal and external customers regarding products and services. Processes routine to moderately complex transactions on-line, researches and resolves routine to moderately complex problems and inquiries and refers difficult problems to more senior representatives. Cross-sell or refer products, account maintenance, report generation, and project work.

  • Fill out contract, quotation and shipping forms.

  • Assist with sales of new or additional services.

  • Arrange for and coordinate transportation of product to customer as required.

  • Assist customers with complaints concerning billing, referring complaints of product / service failures (Non-Conformance Reports) to designated departments for investigation.

  • Contact customers via phone or in person and receive orders for products.

  • Determine charges for product requested.

  • Collect deposits or C.O.D. payments, prepare change of address records, and issue change orders.

  • Purchase (within limits) materials in support of orders.

  • Continuously expedite and report on Work Order status.

  • Maintain and update customer list, price list, etc.

  • Filing and general support of position

  • Know and understand Weatherford Quality Policy and comply with all requirements of the Quality Systems Manual, Operating and Technical Procedures and Workplace Instructions.

  • Must understand and comply with all safety rules and company policies of Weatherford.

  • Work assignments carried out to the highest quality level.

  • Perform various other duties and activities as assigned by supervisor within the physical constraints of the job including working in the shop with the equipment- equipment inventory- and loading equipment by operating a crane.

    General Dispatch Duties:

  • Answer the phones for all incoming calls from the main line

  • Answer and monitor the front lobby and gate, asking for all proper PPE

  • Ensuring the guest/visitors are signing in as they enter our facility

  • Run and log new guest/visitors through Weatherford orientation

  • Receive in JDE anything with a purchase order that is delivered to our facility. Example parts / tools and notify who it belongs to.

  • Uploading documents into WCC (MPI, Load Test, Data Books, Calibration Sheets and Mics Doc)

  • Create Work Orders for all JDE assets needing maintenance / quarantine

  • Be able to multitask and work as a team player emphasis on multitasking

    Inventory for JDE assets:

  • Managing transfers in and out of branch plants including International Request from other Countries

  • Place and confirm All Inspection reports and Open Workorders with assets on delivery tickets for tools shipping offshore

  • Scanning signed delivery tickets into WCC for billing department

  • Take photos of all assets leaving and returning from offshore

  • Return assets from delivery tickets for tools returning from offshore

  • Create demand and Open Sequence on any Items needing to be ordered/transferred within Weatherford or from the Hub for MPD Customers per Request.

  • Working to direct sale orders to have them staged/pulled and shipped to customer and obtain signature for billing purposes

    Shipping and Receiving:

  • Schedule trucking through Weatherford OTM if cost absorbed by the branch plant

  • Schedule trucking through Customer preferred trucking company as per contract

  • Create MRF for baskets – Verify MPI and load test

  • Schedule all FedEx required shipments if required

  • Load trucks for tools shipping offshore along with completing the Dropped Objects checklist.

  • Unload trucks with tools / equipment returning.

  • Responsible for emptying basket and keeping track of Third-party Rentals and Direct billed equipment, returning them back to vendor when they return from Offshore.

  • Work in WELLS or FLEC Shorebase for tools needing to ship offshore and enter weights / dims into their system

  • Initiate Incoming Goods Checklist for all assets being transferred to our branch plant

  • Help with local delivers and pickups as needed

    Personnel and Weatherford Vehicles:

  • Run names through HR Connect for personnel needed as per Rig System Supervisors

  • Call and schedule Field Specialist to be dispatched offshore.

  • Place Field Specialist on Service Tickets and Delivery Tickets as per Customer codes in JDE

  • Fill out all required Authorization forms and Customs per customer for fly out personnel

  • Contact Field Specialist for any forms and documentation needed per Customer/Rig

  • Pull Weatherford Trucking for all personnel needed transportation and document vehicle movement

    Purchase Orders:

  • Request Quotes for services needing a purchase order

  • Create OQ for PO’s needed on all in-house inspections, repairs, calibrations, machining, and service

  • Receive in PO number once the work has been completed

  • Manage Open POs on a weekly basis from the Open PO Report

  • Collect monthly Invoices from TPR rentals and have PO number revised to match rentals

    Job Trackers:

  • Create Job Tracker from Tool List generated by Rig System Supervisor

  • Create Build Sheet in My Advisor from Job Tracker and Tool List

  • Run assets for tools on the Job Tracker as per our customer requirements (Inspection reports, Load Test, Major Survey’s, and Data Books with MTR’s)

  • Schedule Inspections, if necessary, for assets needing MPI

  • Schedule TPI Monitor / Inspectors as needed per Customer requirements

  • Pull Tool List, Job Tracker, Data Books, and Inspection reports for TPI Monitor

Qualifications

Required:

• High School Diploma• Valid Drivers license

• Proficient computer knowledge, Excel • Proficient verbal communication skills

• Must have basic reading, writing and math skills

• Ability to interpret and follow a variety of instructions furnished in written, oral, diagram, or schedules form • Ability to work and interact with all levels of personnel

• Product and People Logistics experience• Shipping Receiving experience

Preferred: • Preferred 3-5 years of dispatcher experience with demonstrated competencies • Preferred Oil and Gas Industry experience • General knowledge of Oil and Gas Industry products to be sold and purchased • Inventory Regulation- Import/ Export experience
