Midwest Goods Inc. Director of Office Operations in Bensenville, Illinois

Location: Bensenville, IL (On-Site)

Schedule: Monday to Friday 8:00AM to 6:00PM

Status: Full-Time (Exempt)

Compensation: Set at $140k

$300 Sign-On Bonus After The Completion of the 90-Day Probationary Period

Summary/Objective

We are seeking a highly skilled and experienced Director of Office Operations to oversee multiple departments, including customer service, accounts and billing, sales, returns, marketing, purchasing, accounting, compliance, and IT. The ideal candidate will possess a strong background in HR and technology, along with exceptional analytical and project management skills. As the Office Operations Manager, you will be responsible for optimizing departmental workflows, fostering interdepartmental collaboration, and ensuring operational excellence across all areas.

Essential Functions:

  • Manage and coordinate activities across multiple departments, including customer service, accounts and billing, sales, returns, marketing, purchasing, accounting, compliance, and IT.

  • Provide leadership and guidance to department heads, ensuring alignment with organizational goals and objectives.

  • Foster a collaborative and high-performing team environment, promoting teamwork and innovation.

  • Coordinate training sessions, workshops, and professional development programs. Assist in tracking employee training completion and maintaining training records.

  • Address minor employee concerns or inquiries, escalate issues to HR as needed, and maintain open communication channels to foster a positive work environment. Help employees understand company policies and procedures.

  • Assist in disseminating HR policies and procedures to employees, ensuring understanding and compliance. Monitor adherence to HR policies and escalate concerns to HR for resolution.

  • Coordinate employee recognition programs and events to celebrate employee achievements and milestones. Collaborate with HR to ensure recognition initiatives align with company culture and values.

  • Support HR in the performance management process by tracking performance evaluations, goal setting, and performance improvement plans. Help ensure timely completion of performance-related tasks and documentation.

  • Oversee the organization's technology infrastructure, including hardware, software, network systems, and IT support.

  • Identify and implement technology solutions to enhance operational efficiency and productivity.

  • Stay abreast of emerging technologies and trends, recommending strategic technology investments.

  • Utilize analytical tools and methodologies to analyze operational data and identify opportunities for improvement.

  • Generate reports, dashboards, and presentations to communicate key insights and performance metrics to senior management.

  • Develop strategies to optimize processes, streamline workflows, and drive continuous improvement initiatives.

  • Lead cross-functional projects and initiatives, from initiation to completion, ensuring adherence to timelines, budgets, and quality standards.

  • Define project objectives, scope, and deliverables, assigning tasks and responsibilities to project team members.

  • Monitor project progress, identify risks and issues, and implement mitigation strategies to ensure successful project outcomes.

  • Facilitate communication and collaboration between departments, fostering a cohesive and integrated approach to achieving organizational objectives.

  • Establish and maintain effective working relationships with stakeholders, resolving conflicts and promoting a positive work culture.

  • Coordinate interdepartmental initiatives, ensuring alignment with overall business strategies and goals.

Work Environment:

This job operates in a professional office & warehouse environment. This role uses standard office equipment such as laptop computers, smartphones, photocopiers, filing cabinets, and fax machines.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands and fingers to handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.

Position Type/Expected Hours of Work:

This is a full-time position. Days and hours of work are Monday through Friday, (Specify work hours).

Travel:

Occasional Travel Required.

Required Education and Experience:

  • Bachelor’s degree in business administration, Office Administration, or related field (master’s degree preferred).

  • Minimum of 7 years of experience in senior office operations management role.

  • Strong understanding of HR principles, practices, and regulations, with prior experience in HR administration.

  • Proficiency in technology management, including hardware, software, network systems, and project management tools.

  • Excellent analytical skills, with the ability to analyze data, identify trends, and make data-driven decisions.

  • Proven project management experience, with the ability to lead cross-functional teams and deliver projects on time and within budget.

  • Exceptional communication and interpersonal skills, with the ability to effectively communicate with stakeholders at all levels.

  • Strong organizational skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.

  • Demonstrated leadership abilities, with a focus on fostering teamwork, collaboration, and innovation.

  • Ability to adapt to a fast-paced and dynamic work environment, with a proactive and solution-oriented mindset.

Work Authorization:

Must have legal authorization to work in the United States.
