Washington County Mental Health Services Administrative Coordinator in Barre, Vermont

Position Title: Administrative Coordinator  

Division: Community Developmental Services (CDS)

Supervised by: CDS Director Summary of Administrative Coordinator:

The Admin Coordinator will; provide ongoing administrative support to CDS staff with a particular emphasis on compliance with AHS and DAIL regulations as pertains to Master Grant requirements, grievance and appeals, and the DAIL/DDS System of Care Plan; Monitor and report client and program related data; design, monitor and report Agency required administrative information and assist in the ongoing operation of Community Developmental Services.

Responsibilities and Duties:

  • Collaborate with division director, assistant directors, program coordinators and fiscal coordinator to manage administrative tasks.

  • Assist in developing program policies and procedures in collaboration with HR and CDS Leadership Team.

  • Supervise staff when assigned by the program director.

  • Substitute for program coordinators as necessary and when assigned by the program director.

  • Attend and conduct staff meetings at WCMH as required

  • When assigned by program director, represent the program at statewide meetings.

  • Training and resource development for program in conjunction with Human Resources

  • SIS-A coordination

  • Encounter data/Compliance (Quality & Monitoring) administration

  • Communicates meeting follow up information, sends out agendas, minutes, meeting invites, and other correspondence in support of division wide communication and collaboration.

    EMR & Compliance

  • Primary UEMR super user.

  • Assist staff to ensure adequacy of content of documentation.

  • Ensure compliance.

  • ISA Training

    Recruitment & Training

  • Coordinate division trainings with agency Training Coordinator.

  • Provide role-based onboarding to new CDS staff

  • Train CDS staff in service entry/UEMR

  • Primary expense reimbursement super user

  • Primary HRIS super user, including payroll and applicant tracking system

  • Coordinate division hiring needs with agency Recruiters.

  • Primary point of contact for interviews/screenings/references/PIFs

    Data Management

  • Manages CDS Master Grant Data requirements

  • Manage and reports data to DMH.

    Additional Requirements:

  • Ability to interact professionally in written and verbal communication with clients, staff, and other external community stakeholders.

  • Valid driver’s license, and access to reliable transportation.

  • Ability to lift and carry 50 pounds as well as execute restraint techniques.

  • Willingness to work flexible hours.

    QUALIFICATIONS:

    You may be a successful candidate if you have experience in:

  • Data Entry

  • Services to/with individuals experiencing developmental and intellectual disabilities and their families

  • Electronic Health Records

  • Training, Coordination and Development

  • Proficient in Microsoft Suite

    Education:  Bachelor’s Degree in human service or related field required, MA preferred.
